Why bank onboarding takes a separate review

A Kosovo company can exist before it has a fully operational bank account. Banks must identify the company, authorised signatories and ultimate beneficial owners, understand the activity and assess the expected payment flows. Their requirements can go beyond the documents accepted by ARBK.

Documents commonly requested

  • company registration certificate and current registry information;
  • founding act, statute and signing-authority decisions;
  • identification and address evidence for directors, signatories and beneficial owners;
  • an ownership chart and supporting registry records for corporate shareholders;
  • description of products or services, website and business plan;
  • contracts, invoices, customer or supplier evidence where available;
  • source-of-funds and, where relevant, source-of-wealth evidence;
  • expected countries, currencies, volumes and transaction frequency.

What strengthens the application

Consistency is more important than volume. The business plan, website, contracts and verbal explanation should describe the same activity. Explain why the company is in Kosovo, who will manage it, where staff will work and why the requested currencies and countries are relevant. Disclose complex ownership or higher-risk markets rather than leaving the bank to discover them.

Can it be opened remotely?

Some steps may be completed electronically or through an authorised representative, but the outcome depends on the bank's current policy and risk assessment. A bank may request original documents, a video interview or physical attendance by a director or beneficial owner. A power of attorney used for registration does not automatically satisfy bank mandates.

Common causes of delay

  • an incomplete ownership chain or expired registry extract;
  • a generic business description with no Kosovo commercial rationale;
  • transaction forecasts that do not match the stated activity;
  • unclear source of startup capital;
  • last-minute changes to directors, owners or signatories;
  • assuming that every bank supports every currency or payment corridor.

Plan before incorporation

Discuss banking requirements while choosing the entity and preparing foreign documents. If the business needs card acquiring, payment services, trade finance or frequent international transfers, include those needs in the assessment. No professional intermediary should promise approval; the bank retains the decision.
